Invoice Number Format: How to Number Invoices (With Examples)
Simple invoice numbering systems for freelancers and small businesses, with examples, rules to follow and mistakes to avoid.
Why invoice numbers matter
An invoice number is how you, your client and your bookkeeping find a specific bill later. Clients' accounts teams often won't process an invoice without one, and a clean sequence makes it obvious if a payment is missing.

| Format | Example | Best for |
|---|---|---|
| Simple sequence | 0001, 0002, 0003 | Brand new freelancers |
| Year + sequence | 2026-014 | Most freelancers and small shops |
| Client code + sequence | ACME-007 | A few large repeat clients |
| Date based | 20261024-01 | Several invoices on the same day |
Rules to follow
- Never reuse a number, even for a cancelled invoice. Mark it void instead.
- Keep numbers in order with no gaps you can't explain.
- Pad with zeros (014, not 14) so files sort correctly.
- Put the number in the file name and the email subject line.
Track numbers in one place
Keep a simple invoice log with the number, client, amount, sent date, due date and paid date. You'll always know the next number to use and which invoices are overdue. Rules on invoice requirements vary by country, so check what applies to you.
